It Begins with a review of the project size, plans, technical drawings, layout, item specifications, requirements standards, regulations, and timelines. Then we start to source the best, most appropriate suppliers, manufacturers and distributors, to meet the needs of the client.
Our database of approved and qualified vendors benefits each project by providing a sustainable supply chain for the operating supplies, furniture fixtures and equipment.
Selection of the right vendors for each project is carried out by a thorough review of the project requirements, where we prepare tender packages based on the scope of work and the vendors area of expertise.
During this stage, we need to take into consideration, re-supply, and sustainability as we aim to reduce the impact the manufacture and supply of all OS&E and FF&E products may have on the environment.
We will work with you on preparing a preliminary budget, saving you time and potentially money. This preliminary work will help form an accurate budget thereby avoiding any potential delays, amendments and costly changes further on down the procurement stage.
Sourcing
Sourcing – Which includes Planning is the first stage within Procurement Process, where it is the process of choosing the suppliers to offer the items you need for your business. Before purchasing OS&E or FF&E, sourcing should be the first thing to consider.

Procurement
Procurement & Purchasing are regularly mistaken as the same action, however, there is a definite difference, where Procurement can be considered as the action before and after the actual purchasing is made, and purchasing being the actual ordering of goods.
Procurement is the complex process associated with sourcing and obtaining goods and services, it covers many areas, including, research, planning, sourcing suppliers and items, generating bill of quantities/materials, budgets, tendering, comparing offers, freight, warehouse, delivery, installation, and project management.

Purchasing
Purchasing is the final process of obtaining goods or service.
The difference between Procurement & Purchasing is while Procurement combines multiple processes and Purchasing is a one-step process that make the purchase possible.

When a project has both OS&E and FF&E requirements, control can become difficult, especially if different service companies are involved, this becomes even more problematic, when there are numerous product lists from different companies, where items could be duplicated or even worse missed totally, particularly when it comes to areas such as the laundry, kitchens, spas, and gyms.
Included in our service to help reduce this potential pit fall we will liaise with the FF&E consultant, owners, operators, and interior designers to review those lists where duplication or omissions could occur.
Successful purchasing of furniture and operating equipment relies on efficient time management and coordination with all project stakeholders.
Regular interactions with vendors, operators, owners, project managers and designers is necessary to ensure all timelines and quality are maintained and any red flags are raised at the earliest stage, before they become dangerous to the success of the project.
Using a reporting structure tailored to suit the client’s unique needs, you are assured the project is delivered on time and within budget.
One of the tools we use to get a picture of what you need, is the Project Specific Questionnaire, (Hyper Link this to actual document) this is a document we ask you to complete as fully as possible.
It contains questions on all the project areas, including room types, quantities, and specifications. Below is an example. You can find the complete document in the Downloads where it can be edited online and submitted directly.
Our experienced consultants will review, the Interior Designers (ID) renderings, the Architects plans, technical drawings, layout, item specifications, customer brand requirements, standards, specifications, contracts, local regulations, timelines, and quantities.
Along with the Project Specification questionnaire you will receive a Scope of Work Document in Excel format (coming soon, with online access).
Once we receive these completed documents, we can than begin the planning phase. Which includes a questionnaire on the OS&E or FF&E Scope of Work, Purchases.
